Privacy Policy

TechnicalitiesPlus Inc., operating as Technicalities (“Technicalities,” “we,” “us”), respects your privacy. This policy explains what personal information we collect through technicalities.ca, why we collect it, how we protect it, and the choices you have.

This policy covers our own website only. If you’re a visitor to a site we’ve built for one of our clients – a shelter, a legal clinic, a community health centre – that site has its own privacy policy, set by that organization, and this document doesn’t apply to it.

We’re a Canadian company, and this policy is written to meet our obligations under the Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

Information you give us directly. When you contact us through a form on this site, email us, or apply for a job with us, you give us information like your name, email address, phone number, organization, and whatever you write to us. We only collect what you choose to share.

Information collected automatically. We use Matomo, an open-source web analytics tool, to understand how visitors use this site — which pages get read, how people arrive, and general device and browser information (like screen size and browser type). Matomo runs on our own server, alongside the rest of this website. Your information isn’t sent to Matomo the company, or to any outside analytics service.

We don’t use advertising or marketing cookies, and we don’t share cookie data with any third party.

  • A necessary cookie related to how the site displays emoji characters correctly in your browser.
  • Two analytics cookies, set by our self-hosted Matomo, that let us recognize repeat visits and tell how long a visit lasts. One lasts up to 13 months; the other expires after an hour.

We don’t collect any information beyond what’s described here, and we don’t ask visitors to this site for sensitive personal information such as health, financial, or government ID details.

How we use it

We use the information you give us to:

  • Respond to your inquiry or job application
  • Understand which pages and services people are interested in
  • Keep the site secure and working properly after an hour

We don’t sell, rent, or trade your personal information to anyone. We don’t use it for advertising, and we don’t build profiles of visitors for marketing purposes.

Job applicants

If you apply for a position with us, we use your application materials only to evaluate you for that role and, if you consent, to consider you for future openings. Applications come in through the same Gravity Forms and Google Workspace route as general inquiries (see below). We keep application materials for up to 24 months, or as long as it takes to complete the process and follow up with you, then delete them.

Who we share information with

We work with a small number of service providers to run this website and our business, and they process information on our behalf under agreements that require them to protect it and use it only for the purpose we’ve engaged them for:

  • Hosting: Our site, including our analytics, is hosted by FullHost, a Canadian company, on infrastructure located in Canada. Your information doesn’t leave the country simply by visiting this site or being counted in our analytics.
  • Contact form: Submissions go through Gravity Forms, which stores entries in our website’s own database – the same server as the rest of the site, in Canada.
  • Email: A copy of each submission also lands in our inbox through Google Workspace, which we use for business email. Google’s data-residency options don’t include Canada — only the United States or Europe — so email content is processed on Google’s infrastructure outside Canada, most likely in the US.

We don’t otherwise disclose your personal information, except where required by law – for example, in response to a valid court order.

How long we keep information

We keep contact form submissions and general inquiries for up to 24 months, or as long as it takes to respond to and follow up on your inquiry, then delete them. We keep information related to an active client or vendor relationship for as long as that relationship continues and as required by our financial and legal record-keeping obligations.

How we protect it

We limit access to personal information to the team members who need it to do their jobs, and we use reasonable technical and administrative safeguards to protect it against loss, misuse, and unauthorized access. No system is perfectly secure, but we take this seriously – it’s the same standard we hold ourselves to on client projects, many of which involve people in vulnerable circumstances.

Your rights

Under PIPEDA, you have the right to:

  • Ask what personal information we hold about you
  • Ask us to correct inaccurate information
  • Withdraw consent for us to use your information, subject to legal or contractual restrictions
  • Ask us to delete information we no longer need to keep

To exercise any of these, contact us using the details below. If you’re not satisfied with our response, you can file a complaint with the Office of the Privacy Commissioner of Canada.

Children’s privacy

This site isn’t directed at children, and we don’t knowingly collect personal information from anyone under 13.

Changes to this policy

We’ll update this page if our practices change, and we’ll update the date at the top when we do. We encourage you to check back occasionally.
